Invite Contact


Overview

This section provides detailed guidelines on inviting a new contact to join your business partner's network. The instructions provided here are designed to simplify the process and help you add a new contact easily.

Step 1 - Start the Invite Contact Wizard

  1. To invite a contact to join your business partner, click the Invite Contact icon in the BP card's context menu.
  2. The Invite Contact wizard opens when you click the Invite Contact icon.


    Step 2 - View Wizard Introduction

    1. Once the Invite Contact wizard is initiated, a pop-up titled Introduction will appear
    2. The screen provides you with an overview of the Invite Contact wizard. This will help you understand what lies ahead. 
    3. Before adding details to the wizard, please get familiar with some standard icons and their usage.
    4. The screen is divided into two segments:
      1. Information Area:
        1. You can find detailed instructions and information for each step in the information area.
        2. Reading these before filling in the details on the screen is recommended to ensure accuracy.
        3. Additionally, there's an icon to collapse the information bar, which maximizes the content area.
        4. Click the icon to collapse the bar, then click it again to restore it to normal.
      2. Content Area:
        1. The content area is where all actions must be performed on the screen.
        2. The screen title is located under Current Step in the top left corner. Currently, it displays an Introduction.
        3. In the top-right corner, you will find the Completed drop-down, which lists all completed steps. Since you haven't completed any steps, "0" is displayed. Completed steps will be added to the drop-down as you progress through the wizard. If you want to return to a previously completed step, select it from the drop-down.
        4. A Progress bar is placed below the screen title to display the wizard's progress. The progress bar also indicates the total number of steps and the current step you are working on. For instance, if the total number of steps is six and you are on the first step, the progress bar will display 1/4.
        5. The screen will display the overall process and its details.
        1. You can check the box that says "Show every time you use this wizard when adding a system." If you check this box, you will not see the Introduction screen when you initiate the Invite Contact wizard. However, if you uncheck this option, you will see the Introduction screen every time you start the Invite Contact wizard, including the introduction step for subsequent steps in adding the system. 


    Step 3 - Add Contact Details

    On the Contact Information screen, you need to fill in the contact's details in the following fields:

    Please note that fields which are marked with ( * ) are mandatory.
    1. First Name: Enter the first name. A-Z, a-z, space, underscore ( _ ), and hyphen are allowed for this field. This field allows a maximum of 50 characters.
    2. Last Name: Enter the last name. A-Z, a-z, space, underscore ( _ ), and hyphen are allowed for this field. This field allows a maximum of 50 characters.
    3. Job Title:
    4. Department:
    5. Email: Enter an email address. A-Z, a-z, 0-9. , space, underscore ( _ ), hyphen ( - ), comma ( , ), period ( . ), Special characters (@,!, #, $, %, &, *, _ etc.) are allowed for this field.
    6. Role: Select a role that you want to assign to this contact. The OneEnterprise administrator defines roles, which are listed under the Role drop-down.
    7. Click the Next Step button to continue.
    8. Click the Previous Step button to go back to the previous screen.
    9. If you wish to cancel the wizard, click the Cancel button.


    Step 4 - Assign Project

    On this screen, you need to assign the project to your contact. However, it's not required to assign the project here. You can add a contact and send the invitation without assigning the project to your contact. Additionally, you can go to the Project module at any time to invite team members to any project.

    If you've already created the project, it will appear on the screen. If not, the screen will be blank. Still, the Next Step button will be enabled so you can proceed.
    1. A Search field is provided on the screen to find the required project.
    2. A list of already configured projects appears on the screen.
    3. You can choose any existing project from the list. If you do not want to assign the project, please do not select any project on this screen.
    4. To assign the project to your contact, select the required project band. The chosen band gets highlighted.
    5. You can assign multiple projects to your contact.
    6. Click the Next Step button to continue.
    7. Click the Previous Step button to go back to the previous screen.
    8. If you wish to cancel the wizard, click Cancel.

    Step 5 - View Summary

    1. When you click Next Step on the Assign Project screen, an invitation email is sent to your contact.
    2. After the invitation is sent successfully, a confirmation message appears on the screen.
    3. Click Close to close the screen.
    4. Your contact can accept the invitation and log in to the OneEnterprise application.


    5.1 View Added Contact

    1. Go to the Contacts module.
    2. The contact to whom you have sent the invitation gets added to your contact list.

    5.2 Resend the Invitation Email

    1. Once the invitation has been sent to the required contact, the contact is added to the contact list.
    2. The newly added contact tile appears grayed out.
    3. The contact tile's context menu includes a Resend Invitation option.
    4. Clicking the option from the context menu opens a pop-up.
    5. The pop-up displays the following details:
      1. The date of the last invitation sent.
      2. Description of the invitation
    6. Click Cancel to cancel the resend invitation.
    7. Click Resend Invitation to resend the invitation. An invitation email is sent to the contact.
