Add Contact


Overview

This section guides you through the process of adding a new contact for your business partner with step-by-step instructions to create and save contact details.

Step 1 - Start Add Contact Wizard

  1. Click the Add button to add a new contact.


Step 2 - View Wizard Introduction

  1. After the Add Contact wizard starts, a dialog titled Introduction appears. 
  2. The screen provides you with an overview of the Add Contact wizard. This helps you understand what is coming ahead. 
  3. Before adding details to the wizard, get familiar with some standard icons and their usage.
  4. The screen is divided into two segments:
    1. Information Area:
      1. You can find detailed instructions and information for each step in the information area.
      2. Reading these before filling in the details on the screen is recommended to ensure accuracy.
      3. Additionally, there's an icon to collapse the information bar, which maximizes the working area of the content.
      4. Click the icon to collapse the bar, and click again to return it to normal.
    2. Content Area:
      1. The content area is where all actions must be performed on the screen.
      2. The screen title is located under Current Step in the top left corner. Currently, it displays an Introduction.
      3. On the top right corner, you find the Completed dropdown, which lists all the completed steps. Since you haven't completed any steps, "0" is displayed. Completed steps are added to the dropdown as you progress through the wizard. If you want to return to a previously completed step, select it from the dropdown.
      4. A Progress bar is placed below the screen title, which displays the wizard's progress status. The progress bar also indicates the total number of steps and the current step you are working on. For instance, if the total number of steps is six and you are on the first step, the progress bar displays 1/4.
      5. An image of the entire wizard process is displayed in the working area of the screen.
      1. You can check a box that says Show every time you use this wizard when adding a system. If you check this box, you do not see the Introduction screen when you start the wizard. However, if you uncheck this option, you see the Introduction screen every time you start the Add Contact wizard, including the introduction step screen for further processes of adding the contact. 
  5. Click the Next Step button to continue.


Step 3 - Add Contact Details

On the Contact Information screen, you need to fill in the contact's details in the following fields:
Fields marked with ( * ) are mandatory.
  1. First Name: Enter the first name. A-Z, a-z, space, underscore ( _ ), and hyphen are allowed for this field. This field allows a maximum of 50 characters.
  2. Last Name: Enter the last name. A-Z, a-z, space, underscore ( _ ), and hyphen are allowed for this field. This field allows a maximum of 50 characters.
  3. Job Title:
  4. Department:
  5. Email: Enter an email address. A-Z, a-z, 0-9. , space, underscore ( _ ), hyphen ( - ), comma ( , ), period ( . ), Special characters (@,!, #, $, %, &, *, _ etc.) are allowed for this field.
  6. Role: Select a role that you want to assign to this contact. The OneEnterprise administrator defines the roles, and roles are listed under the Role dropdown.
  7. Click the Next Step button to continue.
  8. Click the Previous Step button to go back to the previous screen.
  9. To cancel the wizard, click Cancel.


Step 4 - Assign Project

On this screen, you need to assign the project to your contact. However, it's not required to assign the project here. You can add a contact and send the invitation without assigning the project to your contact. Additionally, you can go to the Project module at any time to invite team members to any project.

If you've already created the project, it appears on the screen. If not, the screen is blank. The Next Step button is still enabled so you can proceed.
  1. A Search field is provided on the screen to find the required project.
  2. A list of already configured projects appears on the screen.
  3. You can choose any existing project from the list. If you do not want to assign the project, do not select any project on this screen.
  4. To assign the project to your contact, select the required band of the project. The chosen band gets highlighted.
  5. You can assign multiple projects to your contact.
  6. Click the Next Step button to continue.
  7. Click the Previous Step button to go back to the previous screen.
  8. To cancel the wizard, click Cancel.

Step 5 - View Summary

  1. After you click Next Step on the Assign Project screen, an email invitation is sent to your contact.
  2. After the invitation is sent, a confirmation message appears on the screen.
  3. Click Close to close the screen.
  4. Your contact can accept the invitation and log in to the OneEnterprise application.
