Overview
User-defined fields (UDFs) are custom fields you can create to store additional data not available in the standard schema of the integrated systems. These fields are useful when integrating systems or custom applications that require exchanging business-specific data. UDFs are especially useful when your organization has unique data requirements (e.g., "Quality Approval Date", "Warranty Expiry", "Region Code") that need to be tracked directly in the system.
Purpose of User-Defined Fields
- Customization: Tailor the integration to meet specific business needs.
- Flexibility: Allow systems to exchange non-standard data.
- Scalability: Enable future enhancements without modifying core system logic.
Step 1 - Navigate to User-Defined Fields
Navigation: Home > System > Edit System > Configurations > User-Defined Fields
Step 2 - View Object and Its UDF
- Click the User-Defined Fields band.
- After clicking the User-Defined Fields band, the screen displays the list of objects for which the UDFs are defined.
- The UDF ID appears at the end of the band. It can be a name, a number, or a string.
- Each object appears on a separate band.
- The action area provides the Search, Help, and Refresh icons.
- The action area includes a refresh icon.
- Click the Refresh icon. Clicking the icon refreshes all objects with the latest UDF information.
- Hover over the band. A refresh icon appears when you hover over the object band.
- Clicking this icon refreshes the individual object with the latest UDF information.
Step 3 - View UDF Details
- After clicking User Defined Fields, the screen displays the list of objects.
- Click any of the object bands to expand the section.
- Some objects may not have a subsection; click the band to view the UDF details.
- Click the object band to UDF details.
- Each UDF appears on a separate band. The band displays the UDF name and description. Additionally, the UDF ID is shown at the end of the band. It can be a name, a number, or a string.
- The expanded section shows the area of the object where the UDF is created. For example, in the screenshot below, the UDFs are defined under "Address" and "Main Section."
- If more than one UDF is defined, each appears on a separate band.
