Add Scheduler


Overview

This article serves as a comprehensive guide for creating a new schedule dedicated to data synchronization. The purpose of this schedule is to facilitate organized and timely data synchronization between systems. As a result, synchronization will take place at the specified time and date, ensuring seamless data management.

Navigate to Timer Section

Navigation: System > Edit > Published Object > Configuration > Trigger (Timer) > Scheduler
  1. Go to the System module.
  2. Then follow the System > Edit > Published Object > object > Trigger (Timer) > Scheduler path.


Add New Scheduler

  1. Click on the Scheduler band.

  1. If you have not configured a scheduler yet, you will see a blank screen with no schedule. In that case, start adding the scheduler using the Add button.  
  2. If you have already created the scheduler, it will be listed on the screen.
  3. Click on the Add button.


  1. After clicking on the Add button, a pop-up titled "Add New Schedule" will appear. This pop-up presents four options, each represented by a tile:
    1. Once: Use this option to set up a schedule that runs only once. 
    2. Recurring: This option lets you configure a recurring schedule.
    3. Specific Date: Select this option to run the schedule for a particular date. 
    4. Custom: Use this option to create a custom schedule according to your preferences.
  2. You can select any of these options by clicking on the respective tile to create your schedule.
  3. An 'X' icon is in the top right corner to close the pop-up.

Once Schedule

  1. To configure a one-time schedule, click the Once card.

  1. After clicking, a pop-up will appear, allowing you to configure the schedule.
  2. Steps to Configure:
    1. Time Zone:
      1. Next to the header, you will see the timezone icon. Click on the icon to expand the field and select the appropriate time zone for your business.
      2. By default, the application uses the time zone set in your application. However, if you wish to change, you can select any time zone from the drop-down. 
    2. Configure the date using the Date field to determine when you want to run the schedule.
    3. Configure the hours and minutes using the respective drop-downs. The schedule will be configured based on the 12-hour clock; hence, set the AM or PM for the selected hours.
    4. Apply to Description:
      1. Based on the selected date and time, a schedule description will be automatically created. To use the auto-generated description, click on the Apply to Description button. After clicking the button, the description will be added to the Description field. However, you are free to modify or type your description.
    5. Name fields:
      1. Enter the name of the schedule in the Name field. Please note that only characters, digits, whitespace, hyphens, underscores, commas, periods, forward slashes, and at signs (@) are allowed in the field.
    6. Description fields:
      1. If you have already applied the auto-generated description to the field, it will be displayed in the field. However, you can still modify the description as needed.
      2. If you have not applied the auto description, enter the scheduler description in the field. Please note that only characters, digits, whitespace, hyphens, underscores, commas, periods, forward slashes, and at signs (@) are allowed in the field.
    7. To view your schedule in calendar format, click the Preview button. 
    8. Once you have completed the configuration, click the Save button. 

Preview Schedule 

  1. Click on the Preview button to view.
  2. The preview pop-up schedule will appear in the calendar's month view.
  3. The preview window can be closed by clicking on the Close button.

Recurring Schedule

  1. To configure a one-time schedule, click the Recurring card.

  1. After clicking, a pop-up will appear where you can configure the recurring schedule.
  2. Steps to Configure:
    1. Next to the header, you will see the timezone icon. Click the icon to expand the field, then select the appropriate time zone for your business. By default, the application uses the time zone set in your application. However, if you wish to change, you can select any time zone from the drop-down. 
    2. Run Every fields: These two fields let you define the duration and frequency of the run.
      1. First, choose the duration from the second drop-down menu, such as Minutes, Hours, Day of the Month, Week, Month, or Year. 
      2. Now, select the run frequency from the first drop-down, like 1, 2, 4, 6, or 12.
      3. Example: If you select 'Hour' from the second drop-down and '2' from the first, the scheduler will run every two hours. 
    3. Between field: This field lets you set the time frame during which the scheduler will run. For example, if you want to run the scheduler from 2 AM to 5 PM, you can specify this time using this field. 
      1. Select Hour, Minutes, and Periods from the respective drop-down menus to define the time frame. 
      2. The schedule will be configured using the 12-hour clock; therefore, set the AM or PM in the Period drop-down for the selected hours.
    4. Apply to Description: Based on the selected date and time, a schedule description will be automatically created. To use the auto-generated description, click on the Apply Description button. After clicking the button, the description will be added to the Description field. However, you are free to modify or type your description in the Description field.
    5. Date Range field: This section allows you to set the date range for your scheduler. It provides two options:
      1. Run Always:
        1. This option enables you to set the scheduler to run indefinitely. 
        2. To select this option, click the radio button for it.
      2. Runs based on date condition:
        1. This option allows you to set the 'Start' and 'End' date conditions in which the scheduler will run.
        2. To select this option, click the radio button for it. Upon selecting the option, the Start and End date drop-down will appear.
        3. Choose the start and end date from the respective fields.
        4. Please note that if you wish to set the start date but do not want to configure the end date, click on the Disable End Date link. This will disable the end date field, and the scheduler will run indefinitely from the start date.
    6. Name fields:
      1. Enter the name of the schedule in the Name field. Please note that only characters, digits, whitespace, hyphens, underscores, commas, periods, forward slashes, and at signs (@) are allowed in the field.
    7. Description fields:
      1. If you have already applied the auto-generated description to the field, it will be displayed in the field. However, you can still modify the description as needed.
      2. If you have not applied the auto description, enter the scheduler description in the field. Please note that only characters, digits, whitespace, hyphens, underscores, commas, periods, forward slashes, and at signs (@) are allowed in the field.
    8. To view your schedule in calendar view, click the Preview button. 
    9. Once you are done with the configuration, click on the Save button. 

Preview Schedule 

  1. Click on the Preview button to view.
  2. The preview pop-up schedule will appear in the calendar's month view.
  3. The preview window can be closed by clicking on the Close button.


Specific Date Schedule  

  1. To configure the scheduler for the specific dates, click the Specific Dates card.

  1. After clicking, a pop-up will appear where you can configure the schedule for any specific dates.
  2. Steps to Configure:
    1. Time Zone: Next to the header, you will see the timezone icon. Click the icon to expand the field, then select the appropriate time zone for your business. By default, the application uses the time zone set in your application. However, if you wish to change, you can select any time zone from the drop-down. 
    2. Run every field:
      1. This option allows you to set the month on which you want ot run the scheduler. A list of the 12 months is displayed as buttons. 
      2. To select a month, click on the button. A button gets highlighted upon selection.
    3. On day field: 
      1. This option allows you to set any day of the month on which you want ot run the scheduler. A list of the days 1-31 is displayed as buttons.
      2. Additionally, a Last button is also provided. This button considers the last day of the month. For example, for February, it will take the 28th as the last day of the month; if it is a leap year, then it will take the 29th as the last day of the month. 
      3. To select a day, click on the button. A button gets highlighted upon selection.
    4. At field:
      1. This field allows you to set the scheduler's time. 
      2. Configure the hours and minutes using the respective drop-down menus. The schedule uses the 12-hour clock, so select AM or PM for each time. To run the scheduler multiple times a day, click the plus icon at the end of the field. 
      3. Clicking the plus icon adds a new time row where you can set the time in the drop-downs. You can add multiple time frames by adding more fields. 
      4. For example, if you set 2:30 PM in the At field and 5:30 PM in the And field, the scheduler will run twice daily at those times. To remove a time field, click the minus icon.
      5. The At field cannot be removed; only the added time fields can be deleted.
    5. Apply to Description: Based on the selected date and time, a schedule description will be automatically created. To use the auto-generated description, click on the Apply to Description button. After clicking the button, the description will be added to the Description field. However, you are free to modify or type your description.
    6. Date Range field: This section allows you to set the date range for your scheduler. It provides two options:

    9. To view your schedule in calendar view, click the Preview button. 
    10. Once you are done with the configuration, click on the Save button.

  1. Click on the Preview button to view.
  2. The preview pop-up schedule will appear in the calendar's month view.
  3. The preview window can be closed by clicking on the Close button.

Custom Schedule 

  1. To configure a one-time schedule, click the Custom card.

  1. After clicking, a pop-up will appear where you can configure the one-time schedule.
  2. Steps to Configure:
    1. Time Zone:
      1. Next to the header, you will see the timezone icon. Click the icon to expand the field, then select the appropriate time zone for your business.
      2. By default, the application uses the time zone set in your application. However, if you wish to change, you can select any time zone from the drop-down. 
    2. Hours: Enter the hours in the text field. The supported values are 1-12.
    3. Minutes: Enter the minutes in the text field. The supported values are 1-60.
    4. Days: Enter the day in the text field. The supported values are 1-31.
    5. Months: Enter the month in the text field. The supported values are 1-12.
    6. Days of week: Enter the day of the week in the text field. The supported values are 1-7.
    7. Year: Enter the year in the text field. 
    8. Before: Enter the start date in the text field. The supported format is yyyymmddmmss.
    9. After: Enter the end date in the text field. The supported format is yyyymmddmmss.
    10. Apply to Description: Based on the selected date and time, a schedule description will be automatically created. To use the auto-generated description, click on the Apply to Description button. After clicking the button, the description will be added to the Description field. However, you are free to modify or type your description.
    11. Name fields:
      1. Enter the name of the schedule in the Name field. Please note that only characters, digits, whitespace, hyphens, underscores, commas, periods, forward slashes, and at signs (@) are allowed in the field.
    12. Description fields:
      1. If you have already applied the auto-generated description to the field, it will be displayed in the field. However, you can still modify the description as needed.
      2. If you have not applied the auto description, enter the scheduler description in the field. Please note that only characters, digits, whitespace, hyphens, underscores, commas, periods, forward slashes, and at signs (@) are allowed in the field. 
    13. To view your schedule in calendar view, click the Preview button. 
    14. Once you are done with the configuration, click on the Save button. 


Preview Schedule 

  1. Upon selecting the Preview button, the schedule will be presented on the calendar in the month view.
  2. The preview window can be closed by clicking on the Close button.


Role and Rights for Approve/Decline Scheduler Request

  1. Please note that the roles and rights functionality will control the creation of the schedule.
  2. User with no admin rights:
    1. If you are not on the Admin User list for the selected system, a Request button will appear at the end of every pop-up. You are still allowed to create a new schedule, but you will not be able to save or publish it.
    2. After creating the schedule, click the Request button and have it approved by an Admin user.
    3. The created schedule will be marked with the Requested flag.
  3. User with admin rights:
    1. If you are on the Admin User list for the selected system, a Save button will appear at the end of every pop-up. 
    2. After creating the schedule, you can save and publish it.
    3. Approve the requested schedule:
      1. If any schedule is marked with the "Requested" flag, as an admin user, you can approve, put on hold, or deny the schedule.
      2. To take any action on the requested schedule, click the respective schedule.
      3. Upon clicking the schedule, the corresponding pop-up will appear with the following options:
        1. Accept: This option allows you to approve the requested schedule. Once you select this and save, the schedule becomes Active, and the status changes from requested to active.
        2. Deny: "If you choose this option, the requested schedule will be denied and deleted."
        3. Keep on hold: This option keeps the requested schedule on hold. The schedule stays in the Requested state and continues to display the Requested flag.
      4. As an admin user, you can choose any option by selecting the radio button and saving the request.
